This Privacy Policy explains how Knot Fashion K.K. (“Knot,” “we,” “us,” or “our”) collects, uses, shares, retains, and protects personal information when you use the Knot website, mobile application, body-scanning services, and related products and services (collectively, the “Platform”).

1. Who Is Responsible for Your Information

Knot Fashion K.K. is the primary operator of the Platform and the primary contact for privacy questions relating to the Platform.

Our Hong Kong affiliate, Knot Fashion Ltd., may process limited personal information as necessary to support Knot house-brand product development, sourcing, production coordination, and fulfilment.

Where an affiliate or service provider processes personal information on our behalf, we require it to use that information only for authorized purposes and to protect it appropriately.

Where a third-party seller is identified on a product page or order confirmation, that seller may process information in accordance with its own privacy notice and applicable law.

2. Information We Collect

Depending on how you use Knot, we may collect the following categories of information.

Account and Contact Information

• Name;

• Email address;

• Telephone number;

• Account credentials;

• Preferences; and

• Communications with us.

Order, Delivery, and Payment Information

• Products selected and customization choices;

• Order history;

• Delivery address;

• Shipping and fulfilment details;

• Payment status and payment-related information;

• Returns, refunds, alterations, remakes, and fit-guarantee claims; and

• Customer-support correspondence.

Payment-card details are generally processed by our payment providers. We do not ordinarily store complete payment-card details ourselves.

Scan-Capture / Source Video

When you use the body-scanning feature, the app records a full-body video for the purpose of creating your body scan.

Because the video captures your full body, your face may appear incidentally in the source video or temporary images used to process the scan.

Knot does not create, extract, store, or retain:

• Facial geometry;

• Facial-recognition templates;

• Facial biometric profiles;

• Facial feature templates; or

• Facial landmarks for identification or authentication purposes.

We do not use facial imagery to:

• Identify or recognize you;

• Authenticate your identity;

• Perform facial recognition or biometric matching;

• Analyze emotions or facial expressions;

• Infer personal characteristics from your face;

• Track you across services, devices, or locations;

• Create advertising profiles;

• Personalize advertising; or

• Conduct advertising or marketing measurement.

Facial imagery is processed only because it may appear incidentally in the full-body source media required to create your body scan.

We do not separately extract or retain images of your face from the source scan media.

3D Body Scan or Model

A digital representation of your body created through the app and made available through your Knot account, where applicable.

The 3D body scan is used for garment fitting and related made-to-measure services.

Knot does not create or retain facial-recognition data or detailed facial geometry as part of this process.

Fit Measurements

Measurements and scan-derived information used to support:

• Garment fitting;

• Sizing;

• Pattern creation;

• Alterations;

• Remakes; and

• Other made-to-measure garment services.

Production Patterns

Garment-construction information used to produce made-to-measure garments.

A production pattern is not a direct measurement table, but it may permit limited inference of some body dimensions. We therefore treat production patterns as body-related production information and protect them accordingly.

Camera Access

The body-scanning feature requires access to your device's camera.

We request camera permission through your device's operating system before accessing the camera.

You can withdraw camera permission at any time through your device settings. If camera permission is disabled, you may be unable to use the body-scanning feature.

Device, Usage, and Technical Information

We may collect:

• Device type and operating system;

• App version;

• IP address;

• Browser and device identifiers;

• Log data;

• Diagnostic information;

• Security information;

• Crash-report information; and

• Browsing and interaction information.

Cookies and Similar Technologies

Our website and Platform may use cookies, software development kits, local storage, and similar technologies to:

• Operate the Platform;

• Maintain sessions;

• Remember preferences;

• Understand Platform usage;

• Diagnose technical problems;

• Maintain security;

• Prevent fraud or misuse; and

• Improve performance.

Where required by applicable law, we obtain consent before using non-essential cookies or similar technologies.

We do not use Body Scan Data or facial imagery for targeted or interest-based advertising.

3. How We Use Your Information

We use personal information to:

• Create and manage your account;

• Process payments, orders, and deliveries;

• Create body scans, fit measurements, and production patterns;

• Produce, alter, remake, replace, and support made-to-measure garments;

• Allow you to reuse stored measurements or a stored body scan for future made-to-measure orders;

• Provide customer service and respond to your requests;

• Assess fit-guarantee, defect, damage, incorrect-order, return, alteration, and refund claims;

• Prevent fraud, misuse, security incidents, and unlawful activity;

• Maintain, test, secure, and improve the Platform and our operations;

• Comply with legal, accounting, tax, regulatory, and recordkeeping obligations;

• Send essential service communications, such as account-security, order, production, delivery, and fit-support messages; and

• Send marketing communications where permitted by law and subject to your choices.

We do not currently use your 3D body scan, fit measurements, inferred body shape, or scan-derived attributes to train or improve artificial-intelligence or machine-learning models.

We do not use source-video facial imagery to train facial-recognition systems, generalized AI models, or advertising systems.

We do not share scan-derived data or facial imagery with advertisers.

If we intend in the future to use identifiable Body Scan Data for a materially different purpose, we will update this Privacy Policy and provide additional notice or obtain consent where required by applicable law.

4. Access to Scans and Body-Related Data

Your 3D body scan is private.

Knot personnel do not access 3D body scans in the ordinary course of business.

Access is restricted to authorized personnel only where reasonably necessary for:

• Customer support;

• Security;

• Legal compliance;

• Technical maintenance;

• Quality assurance;

• Fraud prevention; or

• Resolution of an order-related or fitting issue.

Such access is subject to appropriate safeguards, which may include:

• Access controls;

• Authentication;

• Role-based permissions;

• Logging;

• Monitoring; and

• Internal review processes.

Production partners generally receive only the information reasonably necessary to produce or support the relevant garment, rather than unrestricted access to your Knot account or full 3D body scan.

5. Source-Video and Face-Imagery Deletion

We use scan-capture video only to create your 3D body scan.

After the 3D body scan has been successfully created, the source scan video and temporary source imagery are deleted from our active processing systems and are not retained as part of your Knot account.

Because your face may appear incidentally in the source scan media, deletion of that source media also removes the associated facial imagery from our active processing systems.

We do not separately retain:

• Facial photographs extracted from the scan;

• Facial geometry;

• Facial-recognition templates;

• Facial biometric profiles; or

• Facial-identification data.

Limited copies of source media may remain temporarily in secure backup or disaster-recovery systems before being automatically overwritten or deleted according to the applicable backup cycle. Such copies are not used for ordinary business purposes.

If scan generation fails or you exit the scan flow before processing is complete, temporary processing or retention may occur where reasonably necessary to:

• Complete or retry the scan;

• Diagnose a technical failure;

• Maintain security; or

• Resolve an error,

subject to our retention and security practices.

Any copies that you independently save to your own device remain under your control.

6. How We Share Information

We may share personal information with the following categories of recipients, only as reasonably necessary for the purposes described in this Privacy Policy.

Our Hong Kong Affiliate

Knot Fashion Ltd. may receive limited information where necessary for house-brand:

• Product development;

• Sourcing;

• Production coordination; and

• Fulfilment support.

Factories, Tailors, and Production Partners

Factories and tailors, including production partners located in mainland China, may receive information necessary to produce the relevant made-to-measure garment.

This may include:

• Production patterns;

• Garment specifications;

• Limited sizing or fitting information;

• Order details; and

• Fulfilment information.

We seek to provide production partners only with information reasonably necessary to produce, alter, remake, replace, or support the relevant garment.

We do not intentionally provide source scan videos or facial imagery to factories, tailors, or production partners.

Our factories, tailors, and production partners are required to use production patterns and related information only for the relevant order and necessary production-support purposes.

They must not independently use that information for:

• Analytics;

• Advertising;

• Marketing;

• Profiling;

• Model training;

• Resale;

• Independent product development; or

• Other unauthorized purposes.

Cloud, Hosting, and Technical Service Providers

We may use cloud, hosting, storage, scanning, security, analytics, application-infrastructure, and technical-support providers to operate the Platform.

Where a service provider processes scan-capture media or Body Scan Data on our behalf, we require it to use the information only to provide the relevant service to Knot.

Such providers are not permitted by Knot to use facial imagery for:

• Advertising;

• Marketing;

• Facial recognition;

• Identification;

• Authentication;

• Biometric matching;

• Profiling; or

• Unrelated analytics.

Payment Providers

We may share or permit the collection of payment-related information as necessary to:

• Process payments;

• Prevent fraud;

• Process refunds; and

• Resolve transaction issues.

Logistics and Delivery Providers

We may provide information such as your:

• Name;

• Delivery address;

• Telephone number;

• Order information; and

• Customs information

to logistics companies, couriers, customs agents, and other delivery providers where necessary to fulfil your order.

Customer-Service Providers

Where applicable, service providers may process information necessary to support your:

• Account;

• Order;

• Delivery;

• Alteration;

• Remake;

• Return; or

• Fit-guarantee request.

Professional Advisers and Authorities

We may disclose information to:

• Lawyers;

• Accountants;

• Auditors;

• Insurers;

• Financial advisers;

• Regulators;

• Courts; and

• Government authorities

where reasonably necessary for legal, compliance, security, dispute, or business-record purposes or where required by applicable law.

Third-Party Sellers

Where a product is sold by an identified third-party seller, we may provide information reasonably necessary for that seller to fulfil or support your order.

The third-party seller may also process personal information in accordance with its own privacy notice and applicable law.

Business Transactions

If Knot is involved in a merger, acquisition, financing, restructuring, sale of assets, insolvency, or similar corporate transaction, personal information may be disclosed to relevant parties and professional advisers where reasonably necessary for the transaction.

7. International Transfers

Knot operates internationally.

Your information may be processed in:

• Japan;

• Hong Kong;

• Mainland China; and

• Other countries or regions where our service providers, production partners, payment providers, logistics providers, affiliates, or technical infrastructure operate.

For example, data may be hosted or processed through cloud infrastructure in Asia, including Japan, Singapore, or other locations selected by our service providers.

When personal information is transferred internationally, we use safeguards appropriate to the transfer and applicable law.

These may include:

• Contractual data-protection requirements;

• Confidentiality obligations;

• Access controls;

• Security requirements;

• Restrictions on onward transfers;

• Requirements governing service-provider use of the information; and

• Other legally recognized transfer mechanisms.

Where applicable law requires additional information or consent concerning a transfer to a foreign country, we will provide that information or obtain such consent as required.

8. Marketing and Recommendations

We may use:

• Account information;

• Purchase history;

• Browsing activity; and

• Interactions with the Platform

to provide conventional e-commerce recommendations.

We distinguish between:

Essential service messages, including:

• Security notices;

• Order confirmations;

• Production updates;

• Delivery updates;

• Customer-service communications; and

• Fit-guarantee support.

and:

Optional marketing communications, including:

• Promotional emails;

• Push notifications;

• SMS messages; and

• Product offers.

You may opt out of marketing emails using the unsubscribe link in the email.

You may control push notifications through your device settings.

Where available, you may also manage marketing preferences through your account settings.

We do not use:

• 3D body scans;

• Fit measurements;

• Body shape;

• Scan-derived attributes; or

• Facial imagery

to determine what advertising or marketing to show or send you.

9. Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy.

In particular:

Source Scan Media

Source scan video and temporary scan imagery are handled as described in Section 5 and are deleted from active processing systems after the 3D body scan has been successfully created.

3D Body Scans and Fit Measurements

We retain 3D body scans and fit measurements while you maintain an active account, unless you ask us to delete them, so that you can place future tailored orders without completing another scan.

Production Patterns

We retain production patterns only for as long as reasonably necessary to:

• Produce the relevant garment;

• Support the order;

• Alter the garment;

• Remake or replace the garment;

• Resolve fitting or production issues; or

• Meet applicable legal or recordkeeping requirements.

Order and Business Records

We may retain order, payment, tax, customer-service, security, and dispute records for longer where reasonably necessary for:

• Legal compliance;

• Accounting;

• Tax obligations;

• Fraud prevention;

• Chargebacks;

• Dispute resolution;

• Enforcement of our agreements; and

• Legitimate business records.

Backups

Backup copies may persist for a limited period before secure overwriting or deletion.

We do not state that personal information is retained indefinitely.

Where permitted by applicable law, we may retain information that has been aggregated or de-identified so that it can no longer reasonably be associated with you.

10. Your Choices and Rights

Depending on applicable law and your location, you may have the right to request:

• Access to personal information we hold about you;

• Correction of inaccurate information;

• Deletion of certain information;

• Restriction or suspension of certain processing;

• Objection to certain processing;

• Withdrawal of consent where processing is based on consent;

• Portability of certain information; and

• Information about certain sharing or international-transfer practices.

These rights may be subject to conditions and exceptions under applicable law.

Body Scan and Measurement Deletion

You may request deletion of your:

• 3D body scan;

• Fit measurements; and

• Other retained scan-derived information associated with your account.

Please note:

• Deleting body-scan or measurement data may require you to complete a new scan before placing future tailored orders;

• Deletion may limit our ability to process a pending alteration, remake, replacement, return, or fit-guarantee claim;

• Deletion does not automatically cancel an order already in production;

• Factories and tailors may temporarily retain necessary production information to complete or support an active order; and

• We may retain limited information where required or permitted by law or reasonably necessary for the legitimate purposes described in this Privacy Policy.

Account Deletion

You may request closure and deletion of your Knot account.

When an account is deleted, we will delete or de-identify personal information that is no longer reasonably necessary, subject to information that we must or are permitted to retain for:

• Existing orders;

• Legal obligations;

• Tax or accounting records;

• Fraud prevention;

• Security;

• Dispute resolution;

• Enforcement of our agreements; or

• Applicable backup cycles.

Camera Permission

You can revoke Knot's camera access through your device settings.

Revoking camera permission prevents future camera-based scanning unless permission is granted again.

Revoking camera access does not automatically delete a previously created 3D body scan or fit measurements. You may separately request deletion of that information.

Marketing Preferences

You may opt out of optional promotional communications at any time.

You may continue to receive essential account, security, transaction, order, production, delivery, and customer-service communications.

Verification

We may request information reasonably necessary to verify your identity before responding to certain access, correction, deletion, or other privacy requests.

11. Privacy Rights in Japan

Knot handles personal information in accordance with applicable Japanese privacy laws, including the Act on the Protection of Personal Information (“APPI”).

Where applicable under Japanese law, you may have rights to request:

• Disclosure of retained personal data concerning you;

• Disclosure of certain records relating to third-party provision;

• Correction, addition, or deletion of inaccurate retained personal data;

• Suspension of use or erasure of retained personal data; and

• Suspension of certain third-party provision.

These rights are subject to the requirements and exceptions provided by applicable law.

12. Additional Rights in Other Jurisdictions

Depending on where you live, local privacy or data-protection laws may provide additional rights.

Knot does not sell Body Scan Data or facial imagery.

Knot does not use Body Scan Data or facial imagery for targeted advertising.

Knot does not use facial imagery for facial recognition, biometric matching, or automated decisions producing legal or similarly significant effects concerning you.

13. Security

We use reasonable organizational, technical, and physical safeguards designed to protect personal information.

These may include:

• Access controls;

• Authentication;

• Encryption or other appropriate safeguards;

• Secure communications;

• Role-based permissions;

• Logging;

• Monitoring;

• Confidentiality requirements;

• Vendor security requirements; and

• Incident-response procedures.

Access to personal information is limited to personnel and service providers who reasonably require access to perform their responsibilities.

No electronic storage, transmission, or processing system is completely secure, and we cannot guarantee absolute security.

You should protect your account credentials and notify us promptly if you suspect unauthorized access to your account.

14. Children

Knot is intended for adults aged 18 and over.

We do not knowingly permit individuals under 18 to create an account or use Knot's body-scanning features.

If we learn that we have collected personal information from an individual under 18 in circumstances where we should not have done so, we will take appropriate steps to delete the information.

15. Third-Party Websites and Services

The Platform may contain links to websites, applications, payment services, social-media platforms, or other services operated independently by third parties.

This Privacy Policy does not govern the privacy practices of independent third parties.

We encourage you to review the privacy policies of third-party services before providing information to them.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect:

• Changes to the Platform;

• Changes to our products or services;

• Changes to our processing practices;

• New technologies;

• Changes to our business; or

• Changes to applicable law.

We will post the updated version on the Platform and revise the effective or last-updated date.
